BELAIR LE CAMPING – GLAMPING IN NORTH DORDOGNE
Our aim is to make your visit to Belair le Camping a memorable experience that you will treasure for many years to come. However, we must ask that you read and accept the following terms and conditions which must be adhered to by all guests staying at Belair le Camping. This ensures we can maintain our standards and ensure your safety, as well as establishing a clear legal contract for cancellation, damage and exceptional circumstance.
TERMS AND CONDITIONS AND SAFETY NOTES
Belair le Camping is not a manicured campsite with paved paths, it is set in grass and woodland and in places the terrain is uneven and steep, so please make sure that all of your party are aware of this and wear suitable footwear.
BOOKINGS AND PAYMENTS
If a booking is made eight weeks or more before the holiday is due to start, a deposit of one third of the rent is payable.
If a booking is made less than eight weeks before the holiday is due to start, the full rent, plus any additional charges, must be paid at the time of booking. This can be done by electronic transfer or cheque (made payable to Laura Pantry). We are happy to reserve the holiday for 2 days whilst awaiting a deposit cheque but we reserve the right to sell this holiday without further notice after this period. The balance is payable 8 weeks before your holiday and a reminder will be sent.
When you submit a booking via our online booking form you will receive a booking summary by email to the email address provided. The booking confirmation email will be sent to you separately confirming the accommodation, dates, times and payment details of your glamping holiday. Booking and payment is considered the establishment of a legal contract.
CANCELLATIONS AND REFUNDS
We realise that sometimes plans change and where possible we will help you to move your holiday to a more convenient date. In the event of a cancellation a charge is payable depending on the number of days before the holiday start date that written notification is received.
The cancellation charge is a percentage of the the rental cost of the holiday
0 – 7 days notice 100%
8 – 27 days notice 75%
28 – 55 days notice 60%
56 days or more the Deposit
We recommend that you take holiday insurance to cover any potential loss. In the unlikely event of the accommodation not being available due to fire, flood or other unforeseen circumstances, Belair le Camping cannot accept liability or responsibility for any loss but the full cost of the holiday will be refunded.
CHECK IN / CHECK OUT
Check in is at 3.00pm or after. We would appreciate it if you could let us know your estimated time of arrival, so we can be on site to meet you. Please vacate your tent by 11am on the day of your departure, leaving the tent and cottage clean, including any kitchen and BBQ equipment.
Please remember that the showers, toilets, and communal areas are shared, so we request you clean up after use and try to accommodate others’ usage. We will empty the bins, clean the showers and toilets and take the recycling away daily. Please do not wear outdoor shoes inside the tent. A boot box is provided. Please leave your tent tidy, but there is no need to clean out the wood burner.
In France, re-cycling is very important, please use the appropriate bins provided to help us re-cycle as much as possible.
Overseas guests may pay by international electronic transfer. Any charges from payments from overseas will be passed on to the guest. Payment can be accepted in Sterling Pound or Euros, the rate of exchange will be confirmed in the booking summary email.
Occupancy of a 6 metre bell tent must not exceed 5 people, occupancy of a 5 metre bell tent must not exceed 4 people. The booking will then be deemed cancelled with full loss of payment.
Please confirm your party size including number of adults, children and babies so we can set up appropriate bedding. A double bed is provided in the 5 m tents, a king sized bed for the 6 m tents, sofa beds for children and a wooden cot for babies (charged at a supplement).
Where two or more tents are reserved an additional damage deposit of £100 per tent will be taken per tent to cover any additional cleaning costs or breakages. This will be returned in full, provided there is no damage or excess cleaning required.
Whilst we will always endeavour to put groups in tents close to each other and to allocate specifically requested tent positions, we are unable to guarantee this.
Belair le Camping accept no liability for any belongings left in the tents at any time. If you have valuable items that you wish to leave in a secure place please let us know and we will store these for you at your own risk.
NOISE – BEING CONSIDERATE NEIGHBOURS TO EACH OTHER AND TO THE WILD LIFE
We want all our guests to enjoy a peaceful relaxing stay with us. To keep the valley tranquil and so as not to disturb the wildlife or guests, we do not allow any loud music or radios outside the tents or treehouse as noise is amplified as it travels up the valley. As there may well be young children sleeping, we also ask you to be conscious of how much noise your party are making around the camp fires at night. Likewise if parents of young children can try to let the adults sleep in in the morning, without unleashing the children to the great outdoors until after 7.30am/8am it would be appreciated!
After 10.30pm the only sound that should be generally audible in the field is hooting owls and the snuffling of the badgers and a low murmuring of our guests enjoying the sunset and some tranquil star gazing. We have an outdoor social area for our guests to enjoy, with music, dining and a bar area, however, if you want karaoke at 2am around the campfire, this is not the site for you!
In exceptional circumstances we reserve the right to ask your party to leave if there is repeated noise after having received two warnings and as you will have breached the terms of your contract with us, no refunds will be forthcoming.
LOGS, STICKS AND CAMPFIRE WOOD
We provide sufficient split logs and sticks for one nights usage of the wood burning stove which has been seasoned for at least a year – so please don’t burn it on the campfire!
Extra wood can be purchased from the honesty shop. The BBQ works with charcoal and that can also be purchased for £5 a bag in the honesty shop or from nearby garages and supermarkets.
GENERAL SAFETY/ RESPONSIBILITY FOR CHILDREN AND DOGS
Each tent and Woodcutters cottage has a smoke detector, carbon monoxide detector and a fire extinguisher. There is one exit at the front of the tents and the treehouse. All properties are non smoking and we ask that this includes the outside area around the tent and coutage. The stoves are very safe if used properly and in the tents there is a fire guard. Instructions can be found in your Information pack and should be read before use.
There is a fire safety sand bucket outside outside each tent and coutage – please have it ready for action when using the BBQ or camp fire, just in case! No other fires should be lit on the property.
STRICTLY no fires inside the tent, fireworks or firearms permitted anywhere on the glamping site!
Dogs – are welcome to stay on site, providing muddy paws and bellies are clean before entering the tents and jumping on the beds! Please keep your dog on a lead at all times and clean up any mess straightaway.
Please don’t leave the dogs alone in the tents during the day, as it can be very stressful for them and could cause damage.
We take every care to ensure that you have a safe and enjoyable holiday, but cannot be held liable for any accidents or consequential loss or damage to the guest’s possessions on the property or land.
Please leave the Tent and Cottage tidy and let us know if anything gets broken, so we can replace it for our next guest. We will only charge for replacement in exceptional circumstances, as we expect a degree of wear and tear.
We are pleased to offer an honesty shop for our guests convenience, selling a small number of items to get you going, such as cooking oil, ketchup, eggs, toilet roll, tinned and canned goods, drinks etc… Please note your items on the register provided, all bills to be settled prior to departure.
We can offer welcome packs, offering locally produced food, wine and condiments so please ask prior to your arrival. The welcome packs cost €25 and will be in your accommodation when you arrive. The pack contents may vary depending on seasonal produce and availability.
Parking is provided at the front of the glampsite. Please use the parking bays provided. We have provided festival trolleys to help transport luggage from your car to your accommodation. We are also available as helpful hands as part of your welcome. If you have any special requirements please let us know in advance and we will be happy to help.
